Creating a New User

Those users assigned with the Group Administrator Role-type can create new user accounts within their enterprise.

Important: Before creating a new user, the Administrator should familiarize himself / herself with the different characteristics of User Roles and Security Groups. This knowledge is imperative to empowering a new user with the access necessary for utilizing FlowWorks. Please see topic "About User Roles & Security Groups".

To create a new user in FlowWorks:

  1. Sign-in to your FlowWorks account.
  2. Hover your cursor over , from the main toolbar. A drop-down menu will appear.
  3. Click . This will lead you to the User List, where all existing users within your enterprise are tabulated.
  4. Click Add New User. This will direct you to the page where you will input information for the new user's account.

    Referring to the 'New User' Page (in the image below): the left side of the page is where you will input information for the new user. This side can be divided into 4 distinct 'blocks': 1) user Identification; 2) Client(s); 3) Roles; 4) Security Groups.

  5. Starting with the User Identification 'block', input the administrative details of your new user. First Name, Last Name, User Name and Email are all required fields.
  6. Unless you are creating an account for yourself, click to automatically fill the Password text fields with a temporary password, which the new user can use to log-in for the first time. Also, check Send welcome email with account info. Once the new user has signed-in, the password can be changed at his / her discretion.

    Note: The username must be unique, not only within your enterprise but also throughout FlowWorks. After you’ve saved this new user, the system will look to verify that this username is indeed unique. If the username already exists in the entire FlowWorks database, you will receive an error message and be returned to the user setup page, where you can try a different username.

  7. From the Roles 'block', tick all of the Roles that are appropriate for this new user.

    Important: A Role does not 'inherit' the privileges of the Role below it - although Group Admin is the highest Role that can be assigned, privileges from the Roles below it do not carry over. Thus, each Role-type are separate functions and must be assigned. Hence, a user must be given the Group Admin Role plus all the roles below, to have full access to FlowWorks. To understand the characteristics of different Roles, please see topic "About User Roles and Security Groups". Choose the Role(s) that best fit the needs of the user.

  8. From the Security Group block, choose which Security Group the new user should be placed into.

    Note: This step is only applicable if Security Groups have been set up and the Group Administrator has the authority to assign users to these Groups. To learn more about Security Groups, please see topic "About User Roles and Security Groups".   9. Click . So long as all required fields are accepted, the User List page will refresh with your new user added to the List. The new user can now log-in to their FlowWorks account using the login credentials you set up.
